Google Workspace Setup and Migration for Your Business
We set up Google Workspace so your team gets professional Gmail on your own domain, shared Drive folders, Meet and Calendar, with the right security from day one. We also move old emails and files without losing data.
What is included in a Google Workspace setup for a business?
A Google Workspace setup connects your domain to Google so staff get business Gmail like name@yourcompany.in, plus Drive, Meet, Calendar and Docs. A proper setup includes domain verification, MX records, SPF, DKIM and DMARC, user accounts, shared drives, security rules like two-step verification, and migration of old emails and files.
Key takeaways
- Google Workspace gives business Gmail on your own domain plus Drive, Meet and Docs.
- Correct DNS records (MX, SPF, DKIM, DMARC) keep emails out of spam.
- Shared drives keep company files safe when staff leave.
- Two-step verification and admin rules protect accounts.
- Old emails can be moved from cPanel, Zoho or other providers.
- Cost depends on users, data to migrate and security needs.
What is Google Workspace and why set it up properly?
Google Workspace is Google's paid set of business tools: Gmail on your own domain, Drive, Docs, Sheets, Meet, Calendar and an admin console. A proper Google Workspace setup makes sure emails reach inboxes, files belong to the company and accounts are secure.
Many small businesses start with free Gmail IDs or hosting email from a cheap server. This works at first, but it causes problems: emails land in spam, files sit in personal accounts, and when a staff member leaves, their emails and customer data leave with them.
We set up Workspace as part of our wider cloud solutions, so email, files and business apps work together from the start. For Google's own product details, see workspace.google.com.
What is included in our Google Workspace setup service?
Our setup covers domain and DNS, users, email security, shared drives, migration and staff training. You get a working, secure system, not just a sign-up.

- Domain verification with Google
- MX records so email flows to Gmail
- SPF, DKIM and DMARC records to prove your emails are genuine
- Email aliases like sales@, info@ and accounts@
- Groups for team inboxes and shared mailboxes
- Email signatures with name, role and phone
Users, files and security
- User accounts with an agreed naming format
- Organisational units for departments or branches

- Rules for sharing files outside the company
- Mobile device rules so company data stays safe on staff phones
Which Google Workspace plan should you choose?
Most small Indian businesses do well with Business Starter or Business Standard. Choose higher plans when you need more storage, meeting recording or stronger security and data controls.
| Need | Business Starter | Business Standard | Business Plus |
|---|---|---|---|
| Business Gmail on own domain | Yes | Yes | Yes |
| Storage per user | Basic | More | Even more |
| Meet recordings | Not included | Included | Included |
| Advanced security and data retention (Vault) | No | No | Yes |
| Best for | Small teams with light file use | Most growing SMEs | Firms with compliance or legal needs |
You can mix plans in some cases, for example higher plans for managers and lower plans for staff who only need email. We advise you on this during the free call.
How we set up Google Workspace, step by step
We follow a tested order so email never stops during the move. Most setups are done in a few days, with migration of old mail running in the background.
- 1
Plan
We list users, aliases, groups, departments and what old data must be moved.
- 2
Create and verify
We create the Workspace account in your company's name and verify your domain.
- 3
Add users and structure
We create users, groups, organisational units and shared drives.
- 4
Set security
We turn on two-step verification, password rules, sharing rules and login alerts.
- 5
Migrate data
We copy old emails, contacts and calendars from your current provider, and files from personal drives.
- 6
Switch MX records
We point your domain's email to Google at a low-traffic time and watch delivery.
- 7
Add SPF, DKIM, DMARC
We add and test email authentication records so mail reaches inboxes.
- 8
Train staff
We give a short session on Gmail, Drive, Meet and how to stay safe from phishing.
How do you move old emails to Google Workspace without losing mail?
We copy old mail first, switch the MX records at a planned time, then run a final copy to catch anything that arrived during the switch. Users keep working throughout.
We can move email from cPanel or other hosting email, Zoho Mail, Microsoft 365, old Gmail accounts and most IMAP servers. Contacts and calendars can also be moved. Files from personal Google Drive or other storage can be moved into shared drives so they belong to the company.
Before migration, please prepare
- Access to your domain DNS (GoDaddy, Hostinger, BigRock or others)
- List of users and their current email passwords or admin access
- Approximate mailbox sizes
- Which old mailboxes can be closed and which must be kept
- A good time for the switch, such as a weekend
For large or complex moves, our data migration services team handles mapping, test runs and checks.
Google Workspace vs Microsoft 365: which is better?
Google Workspace suits teams that work mostly in the browser and want simple sharing. Microsoft 365 suits teams that depend on desktop Excel, Word and Outlook. Both are good business choices.
| Point | Google Workspace | Microsoft 365 |
|---|---|---|
| Gmail on your domain | Outlook / Exchange on your domain | |
| Office apps | Docs, Sheets, Slides in the browser | Word, Excel, PowerPoint desktop and web |
| File storage | Google Drive and shared drives | OneDrive and SharePoint |
| Meetings and chat | Google Meet and Chat | Microsoft Teams |
| Ease of use | Very simple for new users | Familiar for Excel-heavy teams |
| Best for | Startups, sales, service and remote teams | Accounts, finance and Excel-heavy teams |
If you are leaning towards Microsoft, see our Microsoft 365 setup page. We set up both and recommend based on how your team works.
Common Google Workspace mistakes to avoid
The most common mistake is skipping SPF, DKIM and DMARC. Without them, your emails are more likely to land in spam or be faked by fraudsters.
Do this
- Register the account in the company name
- Keep at least two admin accounts
- Use shared drives for company files
- Turn on two-step verification for all
- Suspend or transfer data when staff leave
Avoid this
- Admin account in an ex-employee's name
- Files in personal "My Drive" folders only
- Sharing sensitive files with "anyone with the link"
- Changing MX records before copying old mail
- Deleting a leaver's account without moving data
Simple monthly admin routine
- Review new and leaving staff and update accounts the same day.
- Check the admin console for security alerts and odd login locations.
- Look for files shared publicly by mistake and fix access.
- Check storage use so mailboxes do not fill up and stop mail.
- Confirm two-step verification is still on for every user.
Workspace also connects well with your CRM and automation tools, for example to log customer emails or save form leads to Sheets.
What affects the cost of Google Workspace setup?
Setup cost depends on the number of users, how much old data must move and how detailed your security and folder rules are. Google's licence fee is paid separately to Google or a reseller. You get a clear quote after a free call.

Frequently Asked Questions
How much does Google Workspace setup cost in India?
There are two parts: the Google licence fee per user, paid to Google or a reseller, and our setup fee. Our fee depends on the number of users, the size of old mail and files to move, and the security rules you need. You get a clear quote after a free call.
Can I get business Gmail with my own domain name?
Yes. Google Workspace lets your team use Gmail with addresses like name@yourcompany.in. We verify your domain, add the MX records and set up SPF, DKIM and DMARC so your emails are trusted and land in the inbox, not spam.
Will I lose my old emails when moving to Google Workspace?
No, if the move is planned. We copy old emails, contacts and calendars first, switch the MX records at a planned time, and then run a final copy to catch new mail. Users can see their old emails inside Gmail after the move.
How long does Google Workspace setup take?
Basic setup for a small team can be done in a day or two. Migration of old emails runs in the background and depends on mailbox size and the old provider's speed. DNS changes can take a few hours to update across the internet.
Is Google Workspace worth it for a small business?
Yes, for most small businesses. You get professional email on your domain, shared files, video meetings and admin control in one place. The biggest benefit is that company emails and files stay with the company when staff leave.
What are SPF, DKIM and DMARC?
They are DNS records that prove your emails really come from your domain. SPF lists allowed sending servers, DKIM adds a digital signature to each email, and DMARC tells receiving servers what to do with fake emails. Together they improve inbox delivery and reduce email spoofing.
Which is better for my team, Google Workspace or Microsoft 365?
Choose Google Workspace if your team works mostly in the browser, shares files often and wants something simple. Choose Microsoft 365 if your team depends on desktop Excel, Word and Outlook. We set up both and help you choose based on daily work.
Can I use Google Workspace email on my phone?
Yes. Staff can use the Gmail app on Android and iPhone, and also Drive, Meet and Calendar apps. As admin, you can set rules for company data on phones, such as requiring a screen lock, and you can sign a lost phone out of the company account from the admin console.
What happens to emails when an employee leaves?
The admin can suspend the account, transfer the person's Drive files to a manager, and keep or forward their emails as needed. This way customer conversations and files stay with the company. We set up a simple leaver checklist for your HR or admin team.
